Booking Procedures
Bookings are subject to availability at the time of request. Should your choice of hotel not be available and not mentioned any request, we will automatically book and confirm your clients into an alternative hotel of comparable standard where available. If this is not suitable you, must cancel the booking or a no show charge will be made and charged.
When we confirm a reservation, we serve as a definite booking and we do not require reconfirmation from the agent till the deadline mentioned on the confirmation slip. All amendments and/or cancellations must be received in our office before deadline to avoid charges. Cancellation during fair periods may differ from our regular cancellation policy. see trade fair reservations
Vouchers
All vouchers issued by our office mention the agency`s name and specially marked Booked and Paid through Time Off Holidays(or other supplier if so advised) and must be indicated that the room (with or without breakfast).
All extras incurred by your clients must be paid directly to the hotel before their check out.We will not pay hotels for client` s personal hotel charges.
If we receive an invoice with your voucher and it is for more nights or services than you reserved, we will invoice you based on your vouch
Special Events
Fairs/Exhibitions, congresses, Artistic events, Carnival, Easter, Christmas and New Year are considered as special events.
Trade Fairs and Special Events Reservations.
During fair, exhibitions and year-end period’s rooms may only be available at the official rack rates or higher. Should any changes of any fair dates or new fair rates apply, we will notify you of such changes and will invoice you at the revised rate.
Rates
Reservation requests will be invoiced according to the local currency and EURO, unless otherwise specified.
All prices are subject to changes without previous notice.
Transfer prices include one hour maximum waiting time, after this hour the vehicle will be released and new charges will apply.
50 % supplement will apply on all transfers taking place between 21.00 – 07.00, as well as during public holidays and weekends.
Extensions
Kindly you are requested to inform your clients before their departure, any extension of the passenger`s stay must be requested at least before 24 hours before check out date and it will be valid on the hotel`s availability.
Non Arrivals
In case of non-arrival, we reserve the right to charge at least a one night no-show charge or as per hotel policy.
Child Policy
Infant under 2 years are accommodated free of charge in a cot, except where noted in the tariff.
Children between 2 and 12 years might be free of charge when sharing their parent’s room or at a supplement according to hotels policy. Breakfast is not included.
Claims
Any problem occurred during passenger`s stay must be reported immediately to us, in order to do our best to resolve, where possible the problem.
All claims must be reported during the passenger`s stay to the person in charge in writing all the details.
Refunds
Kindly inform your passengers to make sure that the hotel/supplier has accepted the modification. Refund is possible only upon presentation of both the voucher duly marked and the check out bill.
Refund claims are acceptable only within 10 days of passenger check out date.
We cannot guarantee / authorize any refunds unless the hotel send us a written approval of the same.
